A Land Investing Coach

ClickUp · 12-Week Coaching System · Client Dashboards

THE SITUATION

This coach teaches land investing and runs her clients through 12-week planning cycles. Her clients' goals, weekly tasks, and progress were spread across a whiteboard-style tool and Trello, and none of it was standardized. She is comfortable with technology but is not a project-management person, and her clients are not technical at all. She needed one system she could copy for every new client without rebuilding it each time.

THE WORK

I started with a short discovery. A handful of clear questions settled the statuses, the goal library, and how each client should see their own work.

Then I built the system in ClickUp: a goal, task, and subtask structure around the 12-week year, custom fields for client, owner, week, status, and progress, a simple weekly and daily flow, and a reusable onboarding template. It came with a written guide and a Loom walkthrough, and I designed it so a new client could be set up in under 15 minutes.

Then came the real-world tuning. A client could see more of the workspace than intended, so I explained how permissions cascade and set up a private master view with guest access. I tracked down a dashboard that was counting subtasks instead of tasks. I added the numbers a land coach actually watches, such as inventory, passive income, and coaching calls by quarter. And when a dashboard limit turned out to be a ClickUp limit, I confirmed it with their support team and found a workable alternative.

WHAT IT BECAME

A coaching operations system that lives in one place, with a template that sets up a new client the same way every time. Within weeks, her first clients were using it, and updates made to the master board carry over to their boards.

It is simple enough that her clients don't need training to find their way around.
